Submission Guidelines

  • First Author: The submitting author is automatically designated as the first author and presenter. This cannot be changed.
  • Abstract Limit: There are no restrictions on the number of abstracts you may submit and present, provided that each abstract represents distinct research.
  • Authors: Please enter all authors in the order they should appear in the heading of the abstract and enter institution(s) for each author. You will be asked to complete Conflict of Interest Disclosure information for all authors.
  • Title and Body: The title should be entered in sentence-style capitalization. For example, ‘Active learning improves comprehension in large section immunology course at Western University.’ Do not put your title in quotation marks or use all uppercase letters.
  • Special Characters and Formatting: You may copy and paste your abstract. Special characters should transfer. You can also insert special characters using the formatting tool at the top of both title and body entry fields.
  • Character Limit: There is a limit of 1,500 characters for the text of your submission. The character count does not include spaces. You will be advised of your character usage in the lower portion of the screen on the Submission page.
  • Topic Category: You will be asked to select the appropriate abstract topic category for your submission. Click here to see a listing of the categories.
  • Presentation Type: You must designate your presentation preference. All accepted abstracts will be scheduled as posters. If you select ‘Oral and Poster’, you are not guaranteed your abstract will also be selected as an oral presentation.
  • Poster Presentations: Posters must be displayed with their Poster Session on their assigned presentation day. They must be up no later than 9:30 AM and removed by 4:30 PM. Authors may hang their posters as early as 7:30 AM.  Authors must be present at their posters between the dedicated poster hours of 2:30 PM – 3:45 PM on their assigned day. Posters that are not presented at the meeting will not be published in The Journal of Immunology special meeting issue online.
  • With regard to research using human subjects, AAI endorses the protections embodied in the Basic Principles of the Declaration of Helsinki and their expansion in the regulations governing research supported by the U.S. Government (45 CFR Part 46; 56 FR 28003). AAI does not endorse, nor will they publish the results of research that was not conducted in accordance with these Principles. Investigations involving animals reported in abstracts must have been conducted in conformance with the FASEB Statement of Principles for the use of animals in research and education.
  • Abstract Proof: Carefully check the proof of your abstract. Make sure all special characters and formatting display correctly in your proof. If you find errors, to make your corrections, return to the appropriate page by clicking on the corresponding circle tab across the top of the page.  NOTE: All abstracts will be printed and published as submitted by the author. AAI is not responsible for, and will not copy edit, abstract submissions. Additionally, AAI WILL NOT accept edits to the abstract for ANY REASON after February 23, 2018.
  • Completing your Submission: If you have not completed all required sections and details, you will not be able to submit. When all required information is entered, you must complete payment for your abstract to be considered for the meeting.
  • Payment: A non-refundable processing fee is required to successfully submit your abstract. The AAI member late-breaking abstract submission fee is $100. The non-member late-breaking abstract submission fee is $135. To qualify for the AAI member rate, the submitting author must be a member in good standing, paid through December 31, 2018. Abstract fees are based on your membership status at the time of submission. Credit card is the only form of payment that can be accepted for your abstract submission. Submission will not be complete without payment. Once payment is submitted, you will receive an automatic e-mail confirmation of your successful submission. Note: In addition to paying the abstract submission fee, all abstract submitters must register for the meeting and pay the corresponding meeting registration fee. See the Attendee Registration page for all registration fees and deadlines.
  • Notifications: Notifications of abstract programming will be emailed in early March 2018. Notifications will be sent to the submitting author only. It is the submitting author’s responsibility to notify co-authors.

While it is rare for an abstract not to be accepted, AAI reserves the right – at its sole discretion – to decline any abstract deemed inappropriate.
